Submission of papers 

The official template for paper submission (for both scientific and applied contributions) is now available online. Please use this template to ensure that your paper meets the formal requirements.

 

Topics

The IEA Heat Pump Conference 2026 addresses heat pumping technologies for heating, cooling, refrigeration, and air conditioning (including dehumidification) in different fields of applications using a variety of heat sinks and sources (e.g. air, water, geothermal, residual heat). We highly encourage researchers, manufacturers, designers, representatives from utilities, industries, the public sector, policy makers as well as investors, to present their most recent and novel developments.

Submissions are invited in each of the core pillars or crosscutting themes of the core pillars:

Submission Types

Two kinds of submissions with the same timeline are foreseen:

  • Scientific Paper: Blind peer-reviewed conference contribution to be published in the conference proceedings addressing basic or applied research in the 4 thematic conference pillars meeting high-level, scientific quality standards. High quality scientific papers will be recommended for publication in recognised scientific journals. For “Scientific Papers”, the full paper must not exceed 12 pages and an upload size of 30 MB. The recommended length is 8 to 10 pages with a minimum of 6 pages.
  • Applied Research Paper: Blind peer-reviewed contribution to be published in the conference proceedings addressing applications and practical considerations in the 4 thematic conference pillars. This stream is aimed at reporting the latest developments in heat pump applications and best practises, with final submissions (after approval of initial abstract) shorter in length vs. the scientific paper stream. For “Applied Research Papers”, the full paper must not exceed 6 pages and an upload size of 20 MB. The recommended length is 4 to 5 pages with a minimum of 3 pages. 

Please be aware, that the upper page limit will be enforced by the submission tool! Authors are responsible for making their contributions clear, concise, and accurate. 

  • Conference manuscripts must be in English and created in Microsoft Word using this template. To aid in formatting, “styles” have been created for the various parts of the manuscript. Please use these styles when preparing the manuscript.

Pillars

This pillar welcomes submissions that present innovations addressing core elements of the heat pump cycle:

  • Refrigerants
  • Alternative cycles (e.g., non-conventional technologies including thermo-electric and magneto-caloric heat pump systems)
  • Innovative components (e.g. compressors, ventilators, heat exchangers, controllers and communication systems)
  • Other innovations 

This pillar focuses on the integration of heat pumps to drive decarbonisation in various sectors. This can include innovations related to advanced system design, system integration, optimisation and control, and novel applications of heat pumps or combinations with other clean-energy technologies (e.g., HPs with energy storage). Application areas include:

  • High temperature heat pumps for industrial applications
  • Adaptation of industrial processes for heat pumps
  • Heat pumps in new applications in integrated energy infrastructure of the future
  • Heat pumps in building renovations
  • Heat pumps in high-density urban areas
  • Heat pumps in thermal networks for heating and/or cooling
  • Heat pumps in transportation applications
  • Other applications

This pillar welcomes submissions that describe innovations and best practices in heat pump market development, roll out and successful financial mechanisms addressing decarbonisation:

  • Policies and strategies for heat pump roll-out
  • Market development in different regions
  • Capacity building along the technology value chain
  • Communication, education, and training for technology implementation
  • Circularity in heat pump concepts
  • Quality assurance for products and installations
  • Digital services for value generation (e.g. AI based services)
  • Interaction of heat pumps and electric grids (e.g. grid stabilisation, interoperability, flexibility)
  • Heat pump projects embedded in overall decarbonisation strategies
  • Successful multi-stakeholder projects (e.g. real estate, city administration, technology providers, investors, grid operators, end users)
  • Other initiatives

This pillar addresses solutions for upcoming challenges responding to new and future oriented criteria such as circularity, sustainability, market design and robustness:

  • Heat pumps affordable for all
  • Heat pumps for flexibility
  • New business models
  • Other solutions

Formatting guidelines

  • Language: All abstracts must be written in English.
  • Length:
    • For “Scientific Papers”, the full paper must not exceed 12 pages and an upload size of 30 MB. The recommended length is 8 to 10 pages with a minimum of 6 pages.
    • For “Applied Research Papers”, the full paper must not exceed 6 pages and an upload size of 20 MB. The recommended length is 4 to 5 pages with a minimum of 3 pages.

Evaluation Criteria

All submitted papers will be evaluated by a scientific committee. The evaluation will be based on the following criteria:

  • Relevance of the topic
  • Scientific quality and originality
  • Clarity of presentation
  • Potential impact

Presentation Formats

The contributions at the 15th IEA Heat Pump Conference will be presented in one of the following formats, independent of the paper type (applied research or scientific):

  1. Oral presentations will be made in dedicated topical sessions structured by pillar and topic. Each oral presentation will be allotted 12 minutes for the presentation plus 3 minutes for questions and answers. Invited keynote lectures, selected by the Scientific Committee based on the recommendations of the reviewers, will be allotted 16 minutes for the presentation plus 4 minutes for questions & answers.
  2. Interactive pitch presentations supported by one pitch board page in a dedicated time slot (3-5 minute talk and 10-12 minutes of discussion)

All contributions (abstracts and papers) will be available via the conference companion App. The pitch board of the interactive pitch presentations will be available on the App and on interactive screens at the conference and will have to be uploaded 2 weeks ahead of the conference. The oral presentations have to be uploaded one day prior to the session at the very latest to allow for a smooth transition between presentations. 

At least one author of each contribution is required to attend the 15th IEA Heat Pump Conference. A maximum of two presentations are allowed to be given by a single registered presenter.

During the submission of the draft paper, authors can state their preference for one of these formats. The selection of the presentation format for the accepted contributions will be made by the Scientific Committee.

Opportunity for publication in scientific journals

As part of the IEA Heat Pump Conference 2026, authors will have the opportunity not only to present their scientific work at the conference, but also to submit it for publication in renowned journals. This option offers participants a valuable opportunity to make their research results available to an international audience of experts and to contribute to the scientific excellence of the conference. We currently have a collaboration with the journal Science and Technology for the Built Environment and we are working on establishing further partnerships. The information will be published on the website as soon as available. Note, that this opportunity is only offered for contributions submitted as scientific papers.

Copyright

The authors are informed that by submittal of his or her conference paper(s) to the IEA 15th Heat Pump Conference, the author(s) assumes full responsibility for ensuring that his or her paper does not infringe on another party’s intellectual property rights, which include copyright, and confirm that the paper has not been previously submitted for publication elsewhere.

Furthermore, the author, by submitting his or her conference paper to the conference, grants publishing rights of that paper to the IEA HPT TCP and its sub-committees (e.g. IOC, NOC, HPC), which may

  1. Publish or arrange to publish the paper as part of the Conference proceedings
  2. Copy and distribute the paper in its entirety in print and electronic form
  3. Copy and distribute excerpts from the paper accompanied by a reference to the full paper
  4. Upload the paper into the database on the HPC TCP website (www.heatpumpingtechnologies.org), which will grant access to the final paper three months after the conference.

However, the author(s) retain all other rights, including the right to deposit the manuscript into a trusted repository for scientific publications to comply with the Horizon Europe mandate for publications, and the right to post it on their website.
