Visa Invitation Letter

If you require a visa to attend the conference, we are happy to provide you with an official invitation letter to support your visa application. Please note the following important information:

• Visa invitation letters will only be issued after full payment of the conference registration fee has been received.
• We recommend completing your registration and payment as early as possible to allow sufficient time for visa processing.
• The invitation letter will include your name and the details of the conference (dates, venue, and confirmation of registration).

Conference Policy

Full Registration

The conference registration fee includes admission to all conference sessions, workshops, proceedings, admission to lunches and coffee breaks. The evening events like Gala dinner must be booked separately. 

Student Registration

The conference registration fee includes admission to all conference sessions, workshops, proceedings, admission to lunches and coffee breaks. The evening events like Gala dinner must be booked separately. 

Proof of student status must be uploaded during the online registration process:

• A valid student ID card at time of registration
• Letter from the student’s institution/university stating that the student is currently enrolled as a student at this institution/university (attach copy).

Requirements for student registration

• Student status (bachelor's, master's, PhD studies) must still be valid during the conference (a student ID card valid at the time of the conference or equivalent document in English must be presented)
• Upper age limit 35 years

Cancellation and Refund

Your our conference fee for the 15th IEA Heat Pump Conference 2026 can be refunded under the following conditions:

• Until 28 February 2026: A 70% refund will be issued (a 30% cancellation fee applies).
• From 1 March 2026 onward: No refund will be possible (100% cancellation fee).
• If your registration was used to upload a final paper to the conference, there will be no refund. In such a case please send your cancellation request to office(at)hpc2026.org.
